Workplace Facilities Specialist

We are looking for a proactive and independent Workplace Facilities Specialist to manage the day-to-day operations of our facilities across all Starship locations. This hands-on role focuses on delivering a safe, functional, and welcoming workplace experience that reflects our company’s high-performance culture. You will own facilities operations, vendor management, and health & safety compliance, working closely with global and local teams.
Technical fluency is essential, since you'll be working with collaboration and workplace tools such as Google Workspace (G Suite), Confluence, Slack, and Jira as part of your daily workflow.
Your main responsibilities are:
Provide independent facilities support and act as the primary point of contact for daily workplace requests across multiple office and hub locations.
Ensure and maintain full compliance with all local Health, Safety, and Environmental (HSE) regulations, including the coordination of necessary audits and risk assessments.
Develop, implement and maintain Occupational Health and Safety (OHS) policies and procedures. Deliver safety and ergonomics training programs to foster a culture of awareness, responsibility, and continuous improvement.
Lead and manage facilities projects, including (but not limited to) office/hub moves, refurbishments, improvements, and closures in coordination with local vendors.
Manage local vendor contracts, monitor service delivery quality, and oversee essential services such as maintenance, cleaning, and security.
Track and analyse regional workplace costs, including submitting forecasts, raise Purchase Orders, and submitting new vendors to ensure cost-effective operations.
Collaborate effectively with key internal stakeholders, including Site Leads, People (HR), IT and Finance teams to ensure seamless support for employees and infrastructure.
Implement global workplace initiatives (e.g., sustainability programs, new tools or processes).

What we hope you’ll bring to the table:
Proven experience in facilities or workplace operations, preferably within a technology-driven environment
In-depth knowledge and experience in Occupational Health and Safety legislation and best practices.
Proven ability to work independently, make operational decisions, and manage multiple sites or projects.
Strong vendor management and budget control skills.
This role is based in our Tallinn Office, with occasional travel to other sites.
Fluency in Estonian and English.
