Payroll and People Operations Specialist

We are seeking a detail-oriented Payroll & People Operations Specialist to join our HR team. This role is essential for ensuring smooth payroll coordination, compliance with employment laws, and providing support to our People Partners, Managers, and Employees. The ideal candidate will have knowledge in payroll processes, European employment laws, specifically in our sites Finland, UK, Germany and Estonia; and experience in similar roles in smaller and more mature companies.
This is partially a new role for our team, which means it is exciting to be the one figuring out the structure of the role, being the key mediator for exchanging data between People team/systems, Finance team/Payroll systems and external Payroll Partner companies in all of our site countries in Europe
Your main responsibilities are:

Payroll Coordination
- Oversee payroll processes to ensure accurate and timely payments
- Provide payroll data to external partners and be the main contact for payroll queries
- Ensure compliance with payroll regulations and company policies

HR administration
- Preparing employment contracts according to the local laws
- Preparing employment-related documents
- Supporting onboarding and off-boarding processes

System Administration
- Manage systems and tools related to payroll and employment legislation
- Maintain and update employment contracts, employee data, and payroll information

Compliance and Employment Legislation
- Provide guidance on employment legislation to People Partners, Managers, and Employees
- Stay updated on mentioned European employment laws and ensure company compliance

Support Structure
- Serve as a resource on payroll and employment legislation matters
- Resolve issues related to employment contracts and payroll discrepancies
- Conduct training on payroll processes and employment law updates

What we hope you’ll bring to the table:
- Proficient in payroll related systems and tools (e.g Directo)
- Experience with HRIS and employee data management systems (e.g HRBamboo)
- Strong Excel skills, including advanced functions and data analysis
- In-depth understanding of payroll processes and employment laws in Europe, specifically in our site countries Finland, UK, Germany and Estonia
- Proficiency in English is needed, Estonian language is beneficial
- Excellent organizational and time-management skills
- Strong attention to detail and problem-solving abilities
- Exceptional communication and interpersonal skills
- Ability to handle sensitive information with confidentiality
